Library and Learning Commons Handbook

Mabee Library and the MidAmerica Learning Commons provide access to a wide variety of useful resources and services to meet the information and research needs of MidAmerica Nazarene University (MNU) faculty, staff, and students. The library’s professional faculty and staff members actively reflect the philosophy that they are educators serving a vital instructional role in the university’s education of students. Each library faculty and staff member is involved in professional growth activities to assure the best possible service to the university community.

While this handbook focuses on Mabee Library, it also contains some information regarding the other aspects of the Learning Commons: Kresge Academic Support Center, the Mabee Computer Lab, Dewey’s Book & Bean (coffee shop), and the Marge Smith Archives.

This document provides an orientation to the library’s physical arrangement, and a basic guide to library services and policies. We recognize that this document is general in nature, and we will be pleased to answer any of your questions, and to provide individuals and groups with personalized orientations to library collections, technology, services, and policies. We look forward to assisting you in your pursuit of academic excellence!

Arrangement of Mabee Library - First Floor

Book and Audiovisual Depositories

A separate book and audiovisual depository are located just outside the main library entrance. They are open 24/7, and may be used for the quick and convenient return of library materials. There is also a depository located at the Circulation/Reference Desk inside the library.

Mini-lab and Classroom

These resource areas are accessible from the foyer, and are available 24/7. They are designed to permit faculty, staff, and students to access computer technology and workspace at all hours for extended study time. The mini-lab contains a number of laptop computers and a printer. Snack vending, and a phone for student use, are available. The classroom is available for group study after hours. When the library is closed, a faculty/staff/student ID card is required for access to these rooms.

Restrooms

Restrooms are located in the foyer.

Entrances and Exits

Entrance to and exit from the library is made through the main entrance on the north side of the building. The back stairways and exit doors on the east and west sides of the building are to be used as emergency exits only. The center staircase and elevator provide access to and exit from the second floor.

Circulation/Reference Desk

The Circulation/Reference desk is located just inside the main entrance of the library. This is the library’s service desk, where Mabee Library and interlibrary loan materials may be checked out and returned, fines may be paid, and library information and research questions may be posed.

Kresge Center

Located on the right as one enters the library is the Kresge Academic Support Center. The Center’s staff members, Brenda Doerr and Dr. Terry Gunter, provide instruction in reading, writing, and study skills, and tutoring in selected subjects. They also provide testing services, peer tutoring, and manage the online tutoring system, Smartthinking. Appointments may be made by calling the Center at (913) 971-3387. These services are available at no cost to MNU students and alumni.

Mabee Computer Lab

This computer lab provides access to over 30 Windows-based computers. While the lab is reserved from time to time for scheduled instructional classes, it is available for individual or group use at all other times in which the library is open. Computer users needing assistance should consult the lab’s coordinator, Kelvin St. John, or a student tutor. The computer lab provides access to the Internet and Microsoft Office programs (Word, Excel, PowerPoint and Access). Computer lab use is free of charge to MNU students and alumni.

Reference Computer Workstations

The library provides access to an array of computers in the center of the first floor, between the periodical collection and the reference area. These computers allow for printing, using either of the two printers on either side of the first floor. These computers may be used to access the library’s catalog (Polaris), access and search research databases, browse the Internet, check e-mail, work in Moodle, and compose and print documents using Microsoft Office programs (Word, Excel, and PowerPoint). There are also a number of laptops available nearby for use.

Printers and Photocopiers

Two printers are available on the first floor of the library. These printers also serve as copiers. Printing from the reference computer workstations may be directed to a black-and-white printer, or a color printer. The black-and-white printouts may be retrieved from either of the printers in the library. The color printouts may be retrieved from the color printer, which is located in the Mabee Computer Lab. Please note that a print management system tracks all printing; printing done on the color printer is more expensive than printing done on the black-and-white printers. Please see the guides by the computers and the printers for specific usage instructions.

Audiovisual Materials

The library’s DVD, video, audiobook, CD, and music CD collections are located on the wall just outside the Kresge Center. While most of the DVDs are supportive of academic studies, there are a few feature films as well. All of these materials circulate for four weeks.

Reference Collection

The library provides access to a print-based reference collection, located near the Kresge Center and Mabee Computer Lab. These materials are arranged topically, using the Library of Congress Classification system. Reference books are for in-library use only, and do not circulate. The print reference collection is limited in scope; most users will benefit greatly from use of the library’s online reference and research databases. This area also houses special collections, including the International Society for Science and Religion (ISSR) Collection, and “Creative Projects,” a collection of CD discs relating to graduate level Education and Educational Technology studies. The ISSR materials are the only materials shelved in this area which may be checked out.

Periodicals and Newspapers

The library currently receives approximately 270 periodicals (magazines and journals), including both scholarly journals and popular magazines. Both alphabetical and discipline-specific listings of these periodical holdings may be viewed from a link on the library website.

Current periodical issues are arranged according to subject, in order to facilitate browsing of titles by academic discipline. Recent back issues are kept with the current periodicals. Bound periodicals are shelved alphabetically by title on the open shelves south of the current periodicals. All periodicals are for in-library use only, and do not circulate.

Non-current periodicals are shelved on the second floor, and a few periodicals are available on microfilm. If you have questions about the location of a particular periodical, please feel free to ask any library faculty, staff or student worker for assistance.

We ask that you do not reshelve periodicals; please leave them in a nearby bin.

The library also receives a number of newspapers: Dos Mundos, The Kansas City Star, The Olathe Daily News, USA Today, and The Wall Street Journal. These newspapers are for in-library use only, and do not circulate. Newspaper back issues are retained for one week.

Dewey’s Book & Bean

This coffee shop sells brewed coffee, tea and specialty expresso-based drinks, as well as snacks and light lunch items. It is open during each semester from 7:30 a.m. – 10:00 p.m., Monday-Thursday, and 7:30 a.m. – 5:00 p.m., Friday (closed on Saturday and Sunday). A more complete description of coffee shop’s drinks and food service is available on the library’s website. Comfortable seating is located just outside the coffee shop.

Study Carrels and Tables

A number of study carrels and tables are located throughout the first floor. While the carrels are suited for individual, quiet study, the tables lend themselves to collaborative study. Group study is also accommodated in study rooms located on the second floor.

Arrangement of Mabee Library - Second Floor

The second floor is the designated quiet study area. There are tables, carrels, and study rooms available to meet this need.

Book Collections

The library’s circulating book collections are located throughout the second floor, and are arranged using the Library of Congress Classification system. The circulating book collections check out for a period of four weeks.

Several specialized collections are shelved at the end of the circulation book collections: theses, non-current periodicals, and historical Nazarene materials. All of these materials are non-circulating.

Please do not reshelve books; instead, leave them on a table or carrel, or in a book bin.

Restrooms

There are restrooms available in the northeast corner of the second floor.

Study Carrels and Tables

A number of study carrels and tables are located throughout the first floor. While the study tables on the second floor may work for collaborative study, we ask that users speak in hushed tones, as the second floor of the library is the designated quiet study area. Group study may be more appropriate conducted in a study room.

Study Rooms

Seven study rooms are located on the second floor for individual or group study. Each study room has a door that may be closed for further privacy and quiet. Study rooms are available on a first-come, first-served basis.

Conference Room

A study room-configured space, with audiovisual support, is available on an advanced reservation basis by faculty and staff. This room is kept secure when not in use. Reservations may be made by contacting the library faculty or staff by phone or email.

Teacher Education Resource Center (TERC)

The Teacher Education Resource Center (TERC) contains materials of particular interest to education students, but the collection and the room may be used by anyone. There are also a number of public-access computers available in this room. TERC is located on the east wall of the second floor near the elevator. It houses curriculum books, teacher’s guides and curriculum materials, and related kits and audiovisual materials. These materials, which are arranged according to the Dewey Decimal Classification system, may be checked out for a period of four weeks.

Archives

The Marge Smith Archives, Vennard College Archives, and Donald S. Metz Rare Book Collection together constitute the archival collections in the library. The Marge Smith Archives is a carefully-preserved historical collection of MidAmerica Nazarene University (MNU) materials, including videos of athletic events, sound recordings, and slides. The collection is named after Mrs. Marge Smith, the beloved wife of R. Curtis Smith, MNU’s first president.

The archives are locked, but may be accessed by arrangement with the University Archivist, Lon Dagley. He may be contacted at (913) 971-3566.

A rotating display of artifacts and materials important to the history of the University is available for public viewing outside the archives.

Faculty Carrels

There are a number of lockable study carrels available for faculty to use while working on advanced degrees or other projects. These carrels are located on the west side of the second floor. Carrels may be reserved one semester at a time. One carrel is reserved for faculty use by the hour.

Services and Policies

Library Conduct

The basic rule of conduct in the library is respect for others and library property. We ask that library users: (1) maintain an atmosphere conducive to serious study (particularly when on the second floor, which is designated as a quiet study area), (2) check out all materials taken from the library, (3) refrain from removing periodicals and reference materials from the library, (4) return all borrowed materials on or before the date due, (5) refrain from abusing library materials in any way, and (5) minimize cell phone conversations in the library.

Reference and Research Assistance

We love answering information, reference, and research questions! We specialize in locating resources that will support your research. A library faculty/staff member is on duty at most times to assist with reference/research inquiries, with the exception of 5:00 – 6:00 p.m., Monday-Friday, 10:00 – 11:00 p.m., Monday-Thursday, and 8:00 - 11:00 p.m., Sunday, when student workers only are available. If you find the desk to be unstaffed, you may ring the bell for assistance. You may also set up individual appointments for one-on-one assistance in defining a research topic, and instruction in database searching strategies and library use.

Bibliographic Instruction, Information Literacy, and Library Tours

The Instructional and Research Librarian and other library faculty are available to provide presentations to entire classes and one-on-one assistance to individuals or small groups regarding library resources, database searching strategies, information use and evaluation. Library tours are also available. Please contact the library for assistance.

Online Databases

The library provides access to a number of subject-oriented and general databases for faculty, staff, and student use. Many library users consider these databases to be the single most important information resource provided by the library. The core database is EBSCOhost, but a wide variety of databases are available, and more are being added as funding permits. These databases may be accessed through the library’s website. Access off-campus is achieved by logging onto MyCampus.mnu.edu with your MNU username and password. Many of the research databases include access to full-text reference materials and journal literature, however, not every article in the journal databases is presented in full-text format. In these cases, an interlibrary loan request may be submitted for the journal article desired.

Use of the Library Catalog

The library’s catalog is computer-based, and is called “Polaris.” Library users may access the catalog from any computer in the library, as well as from home, work, or anywhere with Internet access, from the library website. The catalog may also be directly accessed at: http://polaris.mnu.edu/polaris/default.aspx?ctx=3.1033.0.0.1

You may use the catalog to create title and citation lists with records generated from a search. You may also check to see when items you have on loan are due, renew borrowed materials, and request items to be held for you to come pick up at the library. Please use the “Help” tab at the top of each screen for assistance in searching and using the other features of the catalog.

Wireless Internet Access

The library has wireless access throughout the building. Library users from outside the MNU community wishing to use the wireless connection will want to use “mnuguest.” MNU faculty, staff, and students will be able to use their MNU wireless account.

Course Reserve Materials

The library provides access to course reserves: materials placed in the library by an instructor for additional reading. The check-out period for these materials is limited to one to three hours (for items that are designated as in-library use only), or up to one week (for items that may circulate), depending upon the limitations placed on access by the course instructor.  These materials are kept behind the Circulation/Reference Desk, and will be retrieved by staff upon request.

Checking Out Materials

All circulating materials check out for four weeks. Up to three renewals may be placed. If someone has placed a hold on an item, however, the renewal request will not be processed and the item must be returned to the library as soon as possible. The faculty, staff, or student ID card is your borrower card for Mabee Library!

Some materials are for in-library use only, and may not be checked out of the library. These include periodicals (both bound and current) and reference materials.

Renewals

If you wish to keep the items for a longer period of time, you may log in to your borrower account in the library catalog/circulation system, Polaris, by going to the “Patron Accounts” tab, selecting the “Items Out” option, and renewing the materials online. (You may renew all items at once, or selected titles only.) The new date due will be displayed, along with the number of possible renewals. Each renewal is also for a period of four weeks.

Returning Materials

Borrowed materials may be returned either to the slot in the Circulation/Reference Desk or to the book drop/audiovisual drops outside the library entrance.

Overdue Library Materials

Overdue notices are sent out via email, using the MNU email account. The first notice sent is a courtesy “soon-to-be-due” notice. It is sent four days prior to items being due.

Once the items become overdue, you will need to e-mail or call to request a renewal. If the item becomes overdue for an extended period of time, you will receive a second e-mail notice. A third and fourth notice will be sent out every five days. Overdue fees are charged only to borrowers without an MNU ID card.

If an item becomes thirty days overdue, the system assigns the status of “LOST” to the item. You will then receive a bill which includes the price of the item plus a $10.00 per item processing fee. If the lost item is returned, the replacement fee and processing fee will be waived unless the item has already been purchased.

A hold will be placed on students’ university accounts if they have been billed for materials with a LOST status. They will not be permitted to register for classes, receive their diploma, or have transcripts sent until the hold is cleared.

The library reserves the right to request that borrowed materials be returned prior to the date due.

Payment of Charges

Overdue and lost book charges may be paid in person during regular library hours at the Circulation/Reference Desk. Payment also may be mailed to: Mabee Library, MidAmerica Nazarene University, 2030 E. College Way, Olathe, KS 66062. Checks should be made payable to “MidAmerica Nazarene University.”

Payment may also be made with credit card in the Cashier’s Office in the Lunn Building during regular office hours.

Confidentiality of Library Circulation Records

The library protects the confidential nature of library circulation records. These records shall not be made available to anyone other than appropriate library staff and workers. Circulation records shall not be made available to any agency of state, federal, or local government, except pursuant to such process, order, or subpoena as may be authorized under the authority of, and pursuant to, federal, state, or local law relating to civil, criminal, or administrative discovery procedures or legislative investigatory power.

Interlibrary Loan

If you cannot locate a needed book or journal article in the library’s collections, you are encouraged to fill out a request form online at the library’s website at the Circulation/Refeence Desk and we will attempt to locate the material from another library. Requests may also be submitted online via the library website, or through the Kansas Library Catalog. Journal article requests may also be submitted through EBSCOhost.

Usually this service is free, but occasionally a fee is charged from the lending library. The library will cover the first $20 of the charge. If there is any remaining balance, you will be notified prior to the request being submitted, and you may choose to continue or cancel the request. If you authorize the request to be submitted, the remaining balance is to be paid when you come to pick the item up at the library. In most cases, fees do not exceed $25.

Journal articles are photocopies which you can keep; books are borrowed for an approximate three week period (this varies from one library to another). You should return borrowed books to Mabee Library; we will return the book to the lending library for you.

A renewal request may be submitted to the library within three days prior to the item being due. If the renewal request is accepted, the student will receive an e-mail from the library with the new date due. If the request is not accepted, the student will be notified and the item must be returned to the library as soon as possible. Failure to return items in a timely fashion could result in the loss of borrowing privileges. The lending library may assess a replacement charge for items that are lost. This charge will be the responsibility of the requestor.

Textbooks are not available for interlibrary loan. Personal or entertainment uses that are non-academic may be restricted.

Please allow five to ten business days to receive materials you have requested through interlibrary loan.

Placing Items on Hold

When searching the library’s catalog system, Polaris, you may find materials that you wish to check out from the library. To ensure their availability, a hold request may be placed on the item or items. The library staff will pull the items from the shelf and place them at the Circulation/Reference Desk with your name. When the request to hold an item has been processed, you will receive an e-mail notice indicating it is ready. Items are kept on hold for one week before they are returned to the shelf.

Library of Congress Classification System

Mabee Library utilizes the Library of Congress (LC) Classification System to organize most of its collections. LC classification letters and numbers are found on the spine labels and dictate the shelving order of materials in the collections.
